Understanding Notes

In the Notes tab you can add links, illustrations, updates, give kudos, and share other information that can be shared with your collaborators across teams and companies.

Notes can vary based on specific information and details about an object that you want to share.

For example, you can share deadlines, policy documents, travel details, venue locations, photos, and other details that are only relevant to a specific campaign that you're adding notes to.  

Notes can also be used to record links from Twitter, Facebook and web articles.

Edit Notes 

Assign Notes

Add Comments to Notes

Adding Notes

  1. Navigate to the specific campaign or program for which you want to add a note.
  2. Click the Notes tab. You can view all existing notes added to the campaign or program here.
  3. Click Add New Note to enter/attach a new note. New Note screen opens.

  4. Enter in your note.
  5. Click Create.

Editing Notes

Steps:

  1. Navigate to the object-campaign or program for which you want to delete a note.
  2. Go to the Notes section.
  3. Hover over the note that you want to edit to open the action tray. 
  4. Click the EditScreen_Shot_2018-08-10_at_1.15.06_PM.png icon. Edit Note screen opens.

  5. Make your edits and click Save.

Assigning Notes

Steps:

  1. Navigate to the object-campaign or program for which you want to assign a note.
  2. Go to the Notes section of the object.

  3. Hover over the note that you want to assign to open the action tray. 
  4. Click the Assign icon.
  5. Task window opens. Enter task summary and click Add Details. Edit Task Details window opens.

  6. Enter the details as you would in a task.
  7. In the Task Owner field, select the name of the person you want to assign the note to.
  8. You can optionally add watchers.
  9. Click Create.

Deleting Notes

Steps:

  1. Navigate to the object-campaign or program for which you want to delete a note.
  2. Go to the Notes section.

  3. Hover over the note that you want to delete. 
  4. Click the Delete icon.  Your note is deleted. This action cannot be undone. 

Adding Comments to Notes

Comments allow you to maintain an on going dialogue with your team without the hassle of email threads. Your comments are in context and easily accessible from within WorkSpan.

Steps:

  1. Navigate to the object-campaign or program for which you want to add comments to a note. Navigate to the Notes section.

  2. ON the note that you want to add comments to, hover over the note to open the action tray. 
  3. Click the Screen_Shot_2018-08-10_at_1.47.42_PM.png Add Comment icon.

  4. Enter your comments/updates.
  5. Click Save.

Viewing Notes History

Steps:

  1. Navigate to the object-campaign or program for which you want to view notes history.
  2. Go to the Notes section.

  3. Hover over the note that you want to view history for to open the action tray. 
  4. Hover over the Screen_Shot_2018-08-10_at_1.51.32_PM.png Show History icon to view the details.
