1. Overview

We are thrilled to announce the availability of the WorkSpan SFDC App v1.19.2 on Salesforce AppExchange! Specifically designed to facilitate a seamless transition from AWS ACE v1 to v2, this release marks a significant step in enhancing your WorkSpan experience and ensuring compatibility with the latest AWS changes.

2. Key Features of WorkSpan SFDC App v1.19.2

  • AWS ACE v2 Compatibility: This new version is fully compatible with AWS ACE v2, providing a smooth and uninterrupted transition experience.
  • Enhanced Connectivity: WorkSpan SFDC App v1.19.2 enhances connectivity, streamlining your operations and ensuring a more efficient workflow.
  • Optimized Transition Process: With improved features and optimizations, this release aims to make your transition from AWS ACE v1 to v2 as seamless as possible.
Note: Availability Date - March 5, 2024 (Visit Salesforce AppExchange). To ensure you can leverage these enhancements, we encourage you to update to WorkSpan SFDC App v1.19.2 by March 31, 2024. This timely update will provide you with the latest tools and features for a more streamlined and effective collaboration experience on the WorkSpan platform.

3. Understand Your AWS ACE v2 Journey Scenarios

Step 1: Completing the v2 Update Prerequisites

  1. Install SFDC App in Sandbox: Take the first step in your transition journey by upgrading the WorkSpan SFDC App in your sandbox environment. This allows you to explore and familiarize yourself with the enhanced features and functionalities in a controlled setting.
  2. Install SFDC App in Production: Once you've tested and explored the upgraded app in your sandbox, install the WorkSpan SFDC App in your production environment. 
  3. Navigate to the Post Deployment Steps: In the WorkSpan app, go to the WorkSpan Admin tab and into the Post Deployment Wizard. 

  4. Complete Create the Connected App Step: Follow the items inside this section to complete the request.
  5. Complete Post Deployment Wizard Step: Click on the button and follow the guided instructions.

Step 2: Obtain your ACE Solution Details

1. Collect your Solutions Details from the ACE portal: Identify your solutions and download them in Excel format.

        a. Navigate to ACE Partner Central and select "Sell," followed by "Opportunity Management."

        b. Click "Bulk Actions" and then choose "Import Opportunities."

        c.  Initiate the import process by selecting "Start Import." 

        d.  Access the list of solutions by downloading from "Your Products and Offerings," located under the Products and Offerings section.

2. Setting up the ACE Solution file

           1. Open the exported Excel file and locate the ‘Solutions Offered’ tab

           2. Delete the following columns:
                a. Offering Type
                b. Created Date

           3. Rename the following columns:
                a. Offering ID → Solution ID
                b. Offering Title → Solution Name

          4. Add a new column named ‘Is Default.’
              a. Add ‘Yes’  to the solution you want to the default value.
              b. Add ‘No’ to the rest of the solution records.

         5. The final document must have the columns in the following order:
              a. Column A: Solution Name
              b. Column B: Solution ID
              c. Column C: Is DefaultThe final document must have the columns in the following order:

      6. Once your file is ready, Go to File → Save As… → Select the CSV file format and Save. Your final spreadsheet should look like this.

 

Note: You cannot proceed with the below-mentioned steps before completing Step 1 - sub (3, 4, 5)

Step 3: Complete the AWS v2 Deployment Steps. 

  1. Navigate to the Post Deployment Steps: In the WorkSpan app, go to the WorkSpan Admin tab and into the Post Deployment Wizard. 
  2. Access the ACE v2 Deployment Steps Section: At the bottom of the screen, you will see the ACE v2 Deployment Steps.
  3. Complete the Create Solutions and Set Default Step: 
       a. Click on "Upload Files" in the "Create Solutions and Set Default" section.
       b. Upload the CSV file received from support.
      c. Confirm the action in the confirmation window by clicking on the button “Create Solutions and Set Default.
  • You can confirm all the solutions created and the one marked as Default in the “AWS Solutions Offered  ID” field picklist values in the Opportunity Referral object within the Object Manager. 
  • You will see the solutions in the format: "S-123124 - OfferingName" in the picklist values.
Note: The screen capture below displays the steps described above, where a value in the SolutionID is marked as default.

      4. Add default values for Sales activities with the customer.

         a. Under the section "Set Default Value for Sales Activities with the customer," you will have a list of available values.
           b. Click on the value you want to set as default.
           c. Click on "Update Default."
           d. A confirmation screen will appear. Click on "OK."

You can confirm the sales activity marked as Default in the “Sales activities with the customer” field picklist values in the Opportunity Referral object within the Object Manager.
Note: The screen capture below displays the steps described above, where the field “Conducted POC/Demo” is marked as default.
    5. Update Amazon Page Layouts
         a. Click on the "Update Page Layouts" button under the "Update Amazon Page Layouts" section.
Note: If you have the Customized Page Layout, document your changes before updating the layout.

         b. If you proceed and click "Update Page Layouts," you will receive a confirmation screen.
         c. Click on "OK."
        d. You will receive a message stating, "Done with the Setup. No Pending Actions."

Performing this step will update the ‘Outgoing Amazon Referral’ and ‘Incoming Amazon Referral’ Page Layouts. You can review them in the Opportunity Referral object within the Object Manager.

Note: The screen capture below displays the steps described above, where the field “Conducted POC/Demo” is marked as default.
        e. You will receive a message stating, "Done with the Setup. No Pending Actions."

1. Solutions and Default Solution
2. Default Sales Activities

6. Reply to the Support Ticket: Please reply to the ticket created in Step 1 advising WorkSpan that you have completed your installation of WorkSpan Salesforce App v1.19.2. Our Technical Support Team will then carry out a BPA refresh to ensure your WorkSpan environment is aligned with the new app version. 

These steps are crucial for a successful transition and will ensure that you fully leverage the capabilities of WorkSpan SFDC App v1.19.2 in both your testing and production.
