Understanding & Using Custom & Company Fields

Collaboration is key on the WorkSpan Network and sharing information is a key component of it, but at times it is necessary to keep and track some information internal to a company without allowing your partners to access it.

WorkSpan provides the flexibility to extend the objects and create additional fields to support your joint business processes.

Custom fields are fields that you can define for your specific needs in various WorkSpan objects. Custom fields are accessible to all members on an object. Users including partners with access to an object can search and report on custom fields too

Company fields are private fields, only visible to users within your company that are members on an object. Company fields are hidden when users from other companies access the object.

Company fields do not appear in searches or reports for users that are not in your company.

Note: Company fields feature is currently available only for Sales, Solutions and Opportunities, Marketing Plans and Activities.

Custom Fields

Custom fields that are added to an object are shared and accessible to all members of the object.

Users from any member company can search and report on the shared fields.

To Add a Custom Field:

  1. Go to the object to which you want to add a custom field.
  2. Click +Custom Fields. Create Custom Fields window opens.

  3. Click Add. Select a field:
    1. Amount with currency
    2. Attachment-File
    3. Attachment-Link
    4. Checkbox
    5. Date
    6. Date with Time
  4. Enter the Field Label.
  5. A default currency is selected.
  6. Select Yes or No to allow change to currency.
  7. Click Save.

To Remove a Custom Field:

  1. Go to the object for which you want to remove a custom field.
  2. Go to the Custom Fields section and click Create Custom Fields.

  3. Create Custom Fields window opens.

  4. For the custom field that you want to remove, click the Trash can corresponding to the custom field that you want to remove. 
  5. Click Save.

Company Fields

Only users within a company can view fields added to the Company section. These sections are hidden from users from other companies.

Company private fields appear with a lock on the UI.

Searches and reports will not display these fields to users in other companies.

To Add a Company Field:

  1. Go to the object to which you want to add a company field.
  2. Click + Company Fields. Create Company Fields window opens.

  3. Click Add. Select a field:
    1. Amount with currency
    2. Attachment-File
    3. Attachment-Link
    4. Checkbox
    5. Date
    6. Date with Time
  4. Enter the Field Label.
  5. A default currency is selected.

  7. Click Save.

To Remove a Company Field:

  1. Go to the object for which you want to remove a company field.

  3. Click Create Company Fields. Create Company Fields window opens.

  4. For the Company field that you want to remove, click the Trash can corresponding to the company field that you want to remove. 
  5. Click Save.
