Manage & Update Opportunities

Follow

Click into an individual Opportunity from your Sales Plan Opportunities list or from the Opportunities Overview page, and you'll land in the Summary of an individual Opportunity. This will give you an overview of your Opportunity stage, Description, Objectives and Accomplishments, as well as the ability to deep dive into your Activity Log and Comment history on your Opportunities. Here, you can see and set the status of your Opportunity, update your Opportunity information, and understand what's been done and what is outstanding for your Opportunity.

Opportunity Overview

1. Navigate to the Individual Sales Plan Opportunities section. For more information about navigation, click here.

2. In the Individual Sales Plan Opportunities section, your opportunities are displayed in a table view.

3. Click on an Individual Opportunity to open the Opportunity Summary tab.

4. Here, you have an at-a-glance view of your entire opportunity consisting of Opportunity Status, Account Details, Opportunity Comments, Opportunity Tasks, and more.

 

Change Opportunity Stage

1. In the Opportunity Summary tab, click the “Set Stage” button at the bottom right.

2. Select the desired stage from the dropdown. Standard stages include Identified, Joint Account Planning, Engaged, Converted to Opportunity, Won, On-Hold, Discontinued, and Lost.

Note: You must be an owner or collaborator to set the Opportunity stage.

 

Open the Opportunity

1. In the Opportunity Summary tab, click the “Open” button at the bottom right.

2. This will bring you to the Individual Opportunity Strategy section.

3. In the event you may need to use this function, opening the opportunity allows you view and edit any in-depth details. To learn more, click here.

Note: You must be an owner to open the Opportunity.

 

Used In Tab

1. Navigate to the Individual Sales Plan Opportunities section. For more information about navigation, click here.

2. In the Individual Sales Plan Opportunities section, your opportunities are displayed in a table view.

3. Click on an Individual Opportunity to open the Opportunity Summary tab.

4. Click the “Used In” tab at the top of the Opportunity Summary tab.

 

Remove Linked Plans and Solutions

1. In the Opportunity Used In tab, you can view all of the Sales Plans and Solutions that the opportunity is linked to.

2. Remove the linked Plans or Solutions by clicking the corresponding “X” icon next to the Plans or Solutions.

 

Link a Solution

1. In the Opportunity Used In tab, click the “Solutions” tab at the top.

2. Link a solution by selecting a solution from the dropdown.

3. Once selected, click “Add”.

 

Comments Tab

Comments allow you to maintain an ongoing dialogue with your team without the hassle of email threads. Your comments are in context and easily accessible from within WorkSpan.

1. Navigate to the Individual Sales Plan Opportunities section. For more information about navigation, click here.

2. In the Individual Sales Plan Opportunities section, your opportunities are displayed in a table view.

3. Click on an Individual Opportunity to open the Opportunity Summary tab.

4. Click the “Comments” tab at the top of the Opportunity Summary tab.

5. Here, you can view all the comments associated with the Individual Opportunity.

6. Click on any comment to open the Individual Opportunity Comment tab where you can view all comments associated with the Individual Opportunity.

7. Enter your comment at the bottom of your Individual Opportunity Comment section.

8. Press “Enter” on your computer to send your comment.

TIP: Click the “Comment” icon at the bottom of the Opportunity Summary tab to quickly access the comment section.

 

Tasks Tab

1. Navigate to the Individual Sales Plan Opportunities section. For more information about navigation, click here.

2. In the Individual Sales Plan Opportunities section, your opportunities are displayed in a table view.

3. Click on an Individual Opportunity to open the Opportunity Summary tab.

4. Click the “Tasks” tab at the top of the Opportunity Summary tab.

5. Here, you can view all the tasks associated with the Individual Opportunity.

 

 

Create a Task

1. Click the “+ Task” button at the bottom right of the Individual Opportunity Tasks tab.

2. Enter the task summary, description, stage, status, priority, due date, and more.

3. Click the “Assigned to” field to assign the task to a member within the Individual Sales Plan.

4. Upload attachments, including files or links, by clicking the “Add” button next to the corresponding field.

5. Once done, click “Create”.

Note: If the task does not appear right away, refresh the browser.

 

Edit a Task

1. Click on any task to open the Individual Opportunity Tasks tab where you can view the details of the task.

2. Click the “Edit” button on the bottom right.

3. Edit any of the information within the Edit Task tab.

4. Once done, click “Save”.

Note: You can also click on the “Edit” icon next to the task on the Individual Opportunity Tasks tab.

 

Clone a Task

1. Click on any task to open the Individual Opportunity Tasks tab where you can view the details of the task.

2. Click the “Clone” button on the bottom right.

3. Your task will be automatically cloned and added to the Individual OpportunityNote, you may need to refresh the browser to see this change.

Note: By default, the cloned task will be named “Copy of <TaskName>”. Edit the task by using the steps listed above to change the name.

 

Archive a Task

1. Click on any task to open the Individual Opportunity Tasks tab where you can view the details of the task.

2. Click the “Archive” button on the bottom right.

3. Click “Archive” again to archive the task.

 

Share an Opportunity

1. Navigate to the Individual Sales Plan Opportunities section. For more information about navigation, click here.

2. In the Individual Sales Plan Opportunities section, your opportunities are displayed in a table view.

3. Click on an Individual Opportunity to open the Opportunity Summary tab.

4. Click the “Share” icon at the bottom of the Opportunity Summary tab.

5. Under the Share with People section, enter the names or emails of the people you wish to share the Sales Opportunity with. Once names or emails have been added, the member names will populate below in the Share List section.

6. Members will automatically be added as Collaborators. However, you can change the member Access Level by selecting the “Dropdown” icon to the right of the member names. For more information about Access-Level rights and Sharing Settings, click here.

7. To delete a member, click the “Trash” button to the far right of the member name.

8. Next, enter text in the “Email Notifications” text box if you would like to customize the members' notification emails.

9. Under the Share with Companies section, select the companies you wish to share the Sales Opportunity with. Once names or emails have been added, the company names will populate below.

10. Enter text in the “Email Notifications” text box if you would like to customize the company notification emails.

10. Once completed, click “Done”.

 

View Opportunity Details

1. Navigate to the Individual Sales Plan Opportunities section. For more information about navigation, click here.

2. In the Individual Sales Plan Opportunities section, your opportunities are displayed in a table view.

3. Click on an Individual Opportunity to open the Opportunity Summary tab.

4. Click the “Open” icon at the bottom right of the Opportunity Summary tab.

5. This will bring you to the Individual Opportunity Overview section where you can view the details related to the individual opportunity including partner information, objectives, deal status, key dates, comments, activity logs, tasks, and more.

Multi-Company Opportunity

1. From the Individual Opportunity Overview section, you will see all of the companies you are partnering with in the Shared Alliance Section and Member Company Section panel. 

2. This panel is a configurable multi-company opportunity view that allows you to customize opportunity fields and provides a systematic way to track key data points for any number of partners participating on an opportunity. For example, you can track different revenue, deal status, expected close dates for multiple partners working the opportunity.

3. To view more details about each of your partners, scroll down to the Member Companies panel. 

4. Click on any "Individual Partner Company" icon to navigate directly to the Individual Partner Company panel. 

5. If you would like to Show Private Fields, click the "Purple Slide" icon to activate and deactivate. 

Edit Opportunity Details

1. To edit or add any of the details in the Individual Opportunity, hover over the Description, Opportunity Details, Audience Information and/or Objectives and Accomplishments panels on the Individual Opportunity Strategy section to reveal the edit icon.

2. Click the "Edit" icon to edit any section. 

3. Once done, click "Save"
