Align Your Team and Track Metrics on your Activity

Click into an individual Activity from your Marketing Plan Activity list or from the Activity Overview page, and you'll land in the Summary of an individual Activity. This will give you an overview of your Activity Stage, Description, Details, Endorsements, and Custom Fields. This also gives you the ability to deep dive into your Activity Metrics, Activity Log, and Comment history.

Navigate to your Individual Activity

1. Navigate to an Individual Marketing Plan Overview sectionFor more information about navigation, click here.

2. From the Individual Marketing Plan Overview section, click the "Activites" tab on the left. Your activities are displayed in a table view and the Activity Summary tab is automatically activated. To learn more about Activity Table Views, click here.

3. Click on an Individual Activity to view the Activity Summary tab. Here, you have an at-a-glance view of your entire activity consisting of Activity Status, Account Details, Activity Comments, Activity Tasks, and more. To learn more about the Summary tab, click here.

4. In the Activity Summary tab, click the “Open” button at the bottom right. This will bring you to the Individual Activity Overview section.

 

Edit Description, Details, Custom Fields, and Endorsements

 

1. Navigate to an Individual Activity Overview sectionFor more information about navigation, click here.

2. From the Individual Activity Overview section, hover over the Description, Activity Details, Audience Information and/or Objectives and Accomplishments panels on the Individual Activity Overview section to reveal the edit icon.

3. Clicking Edit” on the section you want to edit will open the edit view:

  • In the Description tab you can edit the Activity Name, Description, and Template.
  • In the Activity Details tab you can edit the WorkSpace Primary Intent, Engagement Brief, History, Partners, Routes to Market, Classification, Themes, Activity Types, Product, and Services.
  • In the Custom Fields tab you can add custom and granular information, including, but not limited to, Number of Persons Attended, Pipeline, Activity Leads, Number of MQLs Generated, and more. Click the "Create Custom Field" button to edit your custom fields. Click the "Edit" icon to use your custom fields. 
  • In the Endorsement tab you can edit your Endorsements. To add and request a net new endorsement click the “+ Request Endorsement” and/or the “+ Endorsement” button.

4. Once completed, click “Save”.

Note: If you can't find a panel, do not worry! Keep an eye out for buttons at the bottom.

 

Edit Activity Team Members

1. To access your Member Sharing Settings, navigate to an Individual Activity Overview sectionFor more information about navigation, click here.

2. Within the Individual Activity Overview section, locate and hover over the Team Members panel to the right of the Individual Activity Overview section.

3. Hover over and click the “Edit” button in the right-hand corner of the Team Members panel.

4. This will reveal the Members: Colleagues, Partners, Agencies modal. In this modal, you can view the Accepted, Invited, Requested, and Withdrawn members in your Individual Activity. You can also adjust the Access-Level of the members on your team. Edit Access Level Rights of Accepted Members

1. In the Accepted tab, you can view all of the members and their corresponding Access-Level rights within your Individual Activity.

2. To change a members Access-Level rights, select the “Access-Level” dropdown next to their name.

 

Withdraw Members

1. In the Accepted tab, check the box to the left of the member(s) you wish to withdraw from the Individual Activity.

2. Click the “Withdraw” button at the top of the modal.

3. The member name will be automatically moved to the Withdrawn tab.

 

Remind Invited Members

1. In the Invited tab, check the box to the left of the member(s) you wish to remind.

2. Click the “Remind” button at the top of the modal.

3. An email will be automatically sent.

 

Approve or Decline Requesting Members

1. In the Requesting tab, check the box to the left of the member(s) you wish to approve or decline.

2. Click the “Approve” or “Decline” button at the top of the modal.

Note: To automatically accept the request to join the Individual Activityselect the “Check Box” at the top left of the Members: Colleagues, Partners, Agencies modal.

 

View, Add, and Edit Key Dates

If you have a timeline in which you’d like to drive your marketing activity, adding key dates is a great way to drive urgency and get results.

1. Navigate to an Individual Activity to view the Key Dates of that activity. For information about navigation, click here.

2. Locate the Key Date panel on the right of the Individual Activity Overview section.

3. View all your key dates, or isolate your Upcoming Dates and Past Dates by using the selection buttons at the top of the Key Dates panel.

4. Hover over the Key Date panel on the right of the Individual Activity Overview section to reveal the edit icon.

5. Click the “Edit Icon” to reveal the Edit Key Dates tab.

6. Add a new date or range by clicking the “Add” button at the top of either the Single Date and Date Range sections.

7. Delete a date by clicking the “X” icon next to the Date Descriptor.

8. Edit a date by clicking the “Down Arrow” icon next to the Date to reveal a calendar. And, Re-select a new date within the calendar.

9. Once done, click “Save”

 

Manage Activity Metrics

Add New Metrics

1. Navigate to an Individual Activity to view the Metrics of that activity. For information about navigation, click here.

2. To add new metrics, hover in the Metrics panel at the top of the Individual Activity Overview section to see the “+Metric” button.

 

3. Click “+Metric” to reveal the Add Metric tab.

4. Select your Metric Name.

5. Select the Metric Type. If you select Currency, then, choose a currency from the drop-down list.

6. Enter a Goal.

7. Select Access Control. Your choices are Shared or Private.

  1. Shared implies that the metric will be viewable by all users that have access to the marketing plan for which the metric is being created.
  2. Private means that only users in your company with access to the marketing plan can view the metric. 

Note: An Orange Lock icon  will appear within an individual Metric Card indicating that it is a private metric. 

8. In the last section of the Add Metric tab you can (Option 1) manually enter results for your metric or (Option 2) enable Calculated Results after adding an Activity to your Marketing PlanTo learn how to create an Activity, click here.

9. Once done, click “Save” and your new Metric Card will be added to the Metric Panel. 

Option 1: Manually Enter Results

1. Manually enter results for your metric in the Enter Results section.

2. Once done, click “Save” and your new Metric Card will be added to the Metric Panel.

Option 2: Calculated Results

1. Calculated results are calculated and updated automatically from your linked opportunities and/or activities. If you enable Calculated Results, select a Table View in the Select Table View field to filter across activities by different criteria. To learn how to create and save a table view within your Activities, click here. 

2. Once enabled, select either Sum or Count in the Function field.

  • Count shows you the total number of opportunities and/or activities in the selected table view.
  • Sum adds up the values of one metric column in the table. 
  • If you select Sum, then, you can pick a metric column. The calculated result will be the sum of that field’s values for all opportunities and/or activities in the selected table view.

Note: A Green Lightning icon  will appear within an individual Metric Card indicating that this is an automatically calculated metric.

 

Re-Order Metrics

1. To locate your metrics, navigate to the Individual ActivityFor information about navigation, click here.

2. To change the order of these Metric Cards, hover in the Metrics panel at the top of the Individual Activity Overview section to see the “Reorder Icon” button.

3. This will reveal the Edit Metrics Ordering tab.

4. Reorder by dragging and dropping the metrics in the order you prefer.

5. Once done, click “Save”.

 

Edit Existing Metrics

1. To locate your metrics, navigate to the Individual ActivityFor information about navigation, click here.

2. To edit an existing metric, locate the Metric panel at the top of the Individual Activity Overview section.

3. Within the Metric panel, hover the Metric Card you wish to edit.

4. Click the “Edit Icon” button.

5. In the Edit Metric tab, you can edit your metric details such as Metric Name, Type, Goal, Access Control, and Results.

6. Once done, click “Save”

Note: If you would like to delete a metric, you can do so by clicking the “Delete” button at the bottom left of Edit Metric tab.

 

Comment on Activites

Comments allow you to maintain an ongoing dialogue with your team without the hassle of email threads. Your comments are in context and easily accessible from within WorkSpan.

1. To locate your metrics, navigate to the Individual ActivityFor information about navigation, click here.

2. From the Individual Activity Overview section, scroll down and locate the Comments and Activity Log panel.

3. By default, the Comments tab in the Comments and Activity Log panel will be displayed.

4. To add a new comment, click the “Add Comments” button at the top right of the Comments and Activity Log panel. This will open your Individual Activity comment tab where you can view all comments associated with the Individual Activity.

6. Enter your comment at the bottom of your Individual Activity comment section.

7. Press “Enter” on your computer to send your comment.

Track Activities Log on an Activity

1. To locate your metrics, navigate to the Individual ActivityFor information about navigation, click here.

2. From the Individual Activity Overview section, scroll down and locate the Comments and Activity Log panel.

3. Click the “Activity Log” tab at the top of the Comments and Activity Log panel.

4. The Activity Log includes system generated activities such as direct updates to the Individual Activity, including updates to associated opportunities, memberships, and tasks/assets.

5. By default, all information will be displayed. To filter the Activity Log, click any of the corresponding filter buttons including “Pipeline”, “Tasks”, “Membership” and “Assets”.

6. Click on a “Logged Activity” to navigate to the associated activity.

Note: Unread activities are accompanied by a Red Dot.
