Bulk Update Views and Metrics

As more data is created in your programs or KPIs are updated for your program e.g. you add a new KPI for the next fiscal year, you need to make quick updates on Views and Metrics across all objects in a program or partnership and ensure consistency, tracking to common business outcomes and roll KPIs up into standardized program reports.

There are 2 bulk actions available directly from the table views to make these updates across multiple objects:

  • Update Views and Metrics - Start with a Source Object (e.g. Sales Plan) where Views and Metrics are already updated. Use this bulk action to select Target Objects (e.g. 1 or multiple Sales Plans) and copy over these updated Views and Metrics from the Source Object.
  • Remove all Views and Metrics - This action will remove all views and metrics on Target Objects. Use this action as a pre-requisite step to the bulk update views and metrics. This will ensure that only views and metrics from Source Object are added to the selected objects.

Note: These actions are only enabled for users with a Company Admin role.

 

Update Views and Metrics

More Actions : Use the action to Bulk Update Views and/or Metrics across your selected objects

Steps :

  1. Select objects to be updated, by clicking on the checkbox before them or by clicking select all at the top. (Target Objects)mceclip3.png
  2. Click on More Actions Button, select Update Views and Metrics action.
  3. A form opens up from which you can choose the source object from which you want to copy views and/or metrics

  4. Once the source object is selected, views and metrics are loaded for that object.
  5. Components in form :
    1. Select Source Object - Source Object is the object where the views and metrics have been updated. In this action, views and metrics from this Source Object are copied over to the selected Target Objects.
    2. Overwrite Views and Metrics with the same name - Select this checkbox to overwrite the configuration of existing views and metrics with same name. 
    3. Update My Default and Suggested Default View : Views have a suggested default (default for all members on the object) and My default view. Selecting this checkbox will give you the power to update the default views across all Target Objects.
    4. List of Metrics : List of all metrics in the Source Object to update on Target Objects. Select one or more metrics to update.
      • Only metrics created by your company are listed here. 
    5. List of Views : List of all My Views (views for the current user) and Shared Views from the Source Object. Views across all related objects in the Source Object are listed. Example - if this action is being performed on a Sales Plan, the list can include views for Opportunities and Line Items. User can select all views to copy over or select specific views for each object.
  6. Click on Confirm to start Bulk Update. This kicks off a batch job.
  7. Once the job is complete, you will receive a notification. Alternatively, you can also check the job status from Menu -> Integrations-> Job History section.

NOTE: 

  • You must have Owner access level on the Target Object to successfully complete this action. An error is presented if you don't have this access.
  • Display order of updated/added metrics on target objects:
    • If the metric or view is being overwritten - the order is not changed on Target Objects
    • If the metric or view is added new from Source object to the Target Objects, it is added at the end so it does not change the order of existing data on the object.

 

Remove all Views and Metrics

More Actions : Use the action to Remove all Views and/or Metrics across your selected objects. 

Steps :

  1. Select all objects for this action, by clicking on the checkbox before them or by clicking select all at the top. (Target Objects)
  2. Click on More Actions Button
  3. Click on Remove All Views and Metrics
  4. A Form opens up from which you can choose whether you want to remove all Metrics, My Views or Shared Views.
  5. Click on Confirm. This kicks off a batch job.
  6. Once the job is complete, you will receive a notification. Alternatively, you can also check the job status from Menu -> Integrations-> Job History section.

NOTE: 

  • You must have Owner access level on the Target Object to successfully complete this action. An error is presented if you don't have this access.

Job Status 

Whenever a bulk action is initiated, a batch job is submitted to process the selected objects and complete the actions.

  1. As soon as the job is completed, user will get a notification of the job completion.
  2. The job completion can have two outcomes :
    1. All updates happened successfully and a success notification is presented.
    2. Update completed with some errors. In this scenario, user can click on View Errors in the notification to see which records had error and the corresponding error message(s).

Alternatively, you can alway go to Menu -> Integrations -> Job history and view the status of the job.
