This article provides a unified guide on how to locate, access, and extract picklist or choice values required for setting up Automated Value Mapping across three major CRM platforms, Salesforce (SFDC), HubSpot, and Microsoft Dynamics 365. Since WorkSpan relies on accurate field labels for synchronizing data such as opportunity stages, referral fields, deal properties, and other picklist-driven mappings, this guide explains where each CRM stores these fields and how to manually collect their values.
Locating Values for Salesforce (SFDC)
Getting Started in Salesforce
Open Salesforce, goto login.salesforce.com
Sign in with your login credentials, if your session is already active you’ll be redirected to your salesforce homepage automatically.
To view or extract field values in Salesforce, whether for standard objects like Opportunity or custom objects like Referral, you must navigate through Object Manager, where all objects and their fields are housed.
Steps:
Click the Setup (gear icon) in the top-right corner and select setup.
(Salesforce opens a new tab with the Setup homepage.)From the top navigation bar, select Object Manager and search for and select the required object (e.g., Opportunity, Account, Referral, or any custom object).
3. Go to Fields & Relationships.
4. Select the field you need to copy or type in the name of the field in the Quick Find box.
5. Navigate to the picklist values section for the field.
6. click on the Printable view button and easily copy the picklist values from the generated print view.
7. Paste them into Workspan’s automated value mapping configuration
Note: Access to Object Manager is mandatory. Without this permission, retrieving field definitions or picklist values is not possible.
Locating Values for HubSpot
Getting Started in HubSpot
Open the HubSpot app.hubspot.com.
Sign in with your HubSpot credentials. If you are already logged in, HubSpot will take you directly to your default dashboard.
To view or extract field values in HubSpot, for standard objects like Opportunity, you must navigate to the Deals under Data Management, and for custom objects like Referral, you must navigate to Custom Objects under Data Management
Steps:
Click Settings, and under Data Management, click Objects.
Click on Deals.
Go to Manage Deal Properties.
Search for the required field (e.g., Stage).
HubSpot displays the picklist values directly when you click on the Field.
Copy the values for mapping into Workspan.
Copy Picklist Values Manually
HubSpot doesn’t allow copying the whole list at once.
The supported method is:
Manually copy the picklist values
Paste them into Workspan’s automated value mapping configuration
Working With Source Fields
When mapping fields like Stage, always refer the source field from which the values originate.
Example:
Opportunity Stage is configured on the Deal.
Referral may reference this value, but it does not store its own picklist list.
Therefore, you must fetch the values from Deal→ Stage.
Locating Values for Microsoft Dynamics 365
Getting started with Dynamics 365
Go to make.powerapps.com.
Sign in with your Microsoft credentials. If you are already logged in, you will be directed to the homepage automatically.
Steps:
1. Switch to the Right Environment
Click the environment name at the top right. Choose the correct one
2. Open the Opportunity Table
Select Tables from the left menu and switch the filter to All to see every table.
Search for Opportunity and open it.
3. Find the Sales Stage Field
Inside the table, click Columns, search for Sales Stage and open the field, it will be a Choice/Picklist type.
4. View the Available Stage Values
Scroll down to sync the choice with and click Edit Choice to view the list.
5. You’ll now see the values you need for WorkSpan:
These are the exact labels you should use when setting up value mapping.
Copy Picklist Values Manually
Dynamics doesn’t allow copying the whole list at once.
The supported method is:
Double-click each value and copy
Paste them into Workspan’s automated value mapping configuration
